Patrons sometimes fail to pick up their holds in a timely fashion, which can cause delays for other patrons waiting for the same titles. Surpass Cloud can help with this by cancelling holds for resources waiting for pick-up after a given number of days, and automatically holding the resources for the next patrons in queue (if any) or returning them to general circulation if there are no other patrons waiting in queue. For convenience, this process can be set to run automatically.
Sample Cancelled Holds Report
Options
Cancel holds on resources holding for pick up - Check this box to cancel holds that have been waiting for pick-up after a specified number of days.
Cancel holds for inactive patrons - Check this box to cancel holds for patrons whose accounts have been marked as Inactive.
Do this automatically every night between midnight at 5:00 - Check this box to automate the process so that it runs automatically every night.
Save or Run Now
Depending on whether you selected the Do this automatically option, you'll see either a Save button or Run Now button at the bottom of the Options step.
Save
Saves the settings. At this point, there is nothing more for you to do. The holds will be cancelled according to your settings every night. Later, you'll find reports of cancelled holds listed under Recent Cancelled Holds. These reports will be available here for 7 days.
Run Now
If you want to cancel holds now, un-check the Do this automatically box and click the Run Now button to cancel holds and get a report of the cancellations.
Viewing, Printing, and Downloading
The report can be viewed on-screen, printed, or downloaded as a PDF. See Viewing and Printing Reports.
If your library is part of a system that has multiple locations or branches, the notices will be sent for resources belonging to the selected location only, regardless of whether you have the All Locations option selected.
Next Steps
This process cancels holds in the software but, of course, it's still up to you to either return the resources to the shelf or to hold them for the next patron in queue. If a resource has other patrons in queue, the report will tell you the number and name for whom it is now holding. You might want to print updated Hold Slips for these resources, if any.
